Maintenance Management Workflow


  1. Initial Setup

Managers add standardized tasks, safety protocols, and food safety measures to the Maintenance Library, add approving supervisors in User Management → Approval Hierarchy → Maintenance Department, and populate spare parts in the Maintenance Resources page. Vendor and location details are configured in Vendors & Locations. This is typically a one-time setup.

Approving supervisors must be added in the Approval Hierarchy before they can be assigned as approving supervisors to work orders.

  1. Work Order Creation

    Managers or supervisors create Work Orders, filling in tasks, safety measures, start/end dates, and other required details. The work orders can be created as happening only one-time or recurring.

  2. Supervisor and Technician Assignment

    Each Work Order must have an Approving Supervisor to ensure proper execution and accountability. Without assigning supervisor, technician will not be able to view tasks. Work orders need to be assigned to technicians.

  3. Task Execution (Mobile)

    Technicians complete tasks using the Mobile App, logging time, photos, remarks, and other relevant information.

  4. Supervisor Review

    Assigned supervisors review completed tasks and either approve or reject them via the mobile app or the Maintenance Logs page. Failed task steps in a work order will automatically appear in Maintenance Request page, and supervisors can create new work orders from the failed task steps.

  5. Logging & Analysis

    Approved tasks are stored in Maintenance Logs and metrics can be viewed in Maintenance Analysis for monitoring and reporting.
